Check Out Procedures for All Graduating or Separated Students

All Caltech graduating or separating students are expected to participate in an exit process with the Bursar's Office before commencement or leaving the Institute. This process is designed to inform students of any Bursar Account balance, update information, and address any questions students may have.

Also, if you have received a student loan while at Caltech, this process informs students of their rights and responsibilities, furnishes loan and other fiscal data, and notifies students of federal regulations where applicable.

The New 3 Step Online Exit Process

Step I: Complete all sections of the Exit Compliance Form [PDF]

Step II: Only if you received any loans, you will also need to complete the online exit counseling in addition to the Exit Compliance Form, at the appropriate links below:

For Loan Type 1 (Federal Perkins, Caltech or Institute loans):

    1. Go to www.bursar.caltech.edu
    2. Select the Student Loan tab at the top of the page
    3. Select the link for Exit Counseling:
      http://www.fc.campusoncall.com/cgi-bin/home.pl?campus=CALTECH
    4. Choose Exit Interview; Then print the confirmation e-mail

For Loan Type 2 (Stafford Subsidized or Stafford Unsubsidized loans):

  1. Go to the NSLDS link at http://www.nslds.ed.gov/nslds_SA/
  2. Choose Exit Counseling; Then print the confirmation e-mail

For Loan Type 3 (Emergency Loan, NGSS Loan, or Leap Loan): No exit counseling required.


Step III: Submit the Exit Compliance Form, (and the printed loan confirmation e-mails if you have any loans), to the Bursar's Office. They may be submitted by either e-mail at BursarExit@Caltech.edu, by fax (626) 304-0883, or by bringing them in person to the Bursar's Office located at 414 S. Holliston Ave, Center for Student Services. For questions please phone the Bursar's Office at (626) 395-2988.

 

Bursar Account Payment

Your Bursar account should be paid prior to commencement. Please note unpaid Bursar Accounts will result in your Diploma or Transcripts being held.

Statement Transactions

Some credits or charges, such as postage for mailing belongings, library fines, meals etc. incurred before and after commencement may be reflected on the July 10 statements.

Housing

The required "Intent To Vacate/Room-Move" form due 15 days prior to vacating your room is available in the Housing Office.Please turn in your room key and complete the Housing Check-Out Form within 5 days of vacating your room. This will save you an improper check-out fee.

Telephone Service

Your telephone service will be closed on July 1. If you will be staying on campus through the summer and need telephone service, please contact our office and we can make arrangements for you.

Mailbox Key

Please turn in your mailbox key before leaving campus. This will save you the lock change fee.

Deposit

The general deposit that was charged to each student's personal account upon entering Caltech will be credited to his/her account after graduation. If a credit is generated and you would like to donate this amount to Caltech, please contact bursar@caltech.edu to stipulate this. Otherwise, a refund check will automatically be remitted to you. It is therefore important that we have a forwarding address on file address change form
